Motorized Shading Handover Documentation Checklist
Check as-built IDs, approved versions, manuals, commissioning records, account ownership, training and open issues before handover.
Quick Answer
A handover is usable when the next operator can identify each system, find approved instructions, see what was commissioned, understand account/configuration custody and route support without relying on the original installer’s memory. Missing records remain open items; acceptance of documents does not convert unresolved technical defects into passes.
Handover Document Index
| Category | Record to receive | Completeness check |
|---|---|---|
| As-built identity | Opening/system IDs and installed component models/versions | Matches released schedule and labels |
| Approved configuration | Product, power, control and interface revisions | Superseded records clearly marked |
| Drawings | As-built power/wiring/interface and access references | Current issue, owner and protected/private storage |
| Commissioning | PC09 results, exceptions and retests | Accepted scope and open defects visible |
| Operating information | Applicable manuals and everyday operating instructions | Exact models/versions and accessible language |
| Accounts / programming | Custodian, transfer status and approved backup reference | No passwords or secret keys in public/shared index |
| Training / support | Attendees, topics, support route and spare references | Named custodian and unresolved follow-up |
Record Ownership Without Publishing Secrets
- Name the organization/role that owns each account, backup or configuration.
- Store passwords, tokens, private topology and customer data only in an approved secure system—not in this public template.
- Record transfer status and recovery responsibility without copying the secret.
- Separate supplier manuals from integrator-created programming/configuration records.
Handover Completeness Test
Present
The correct document exists and matches the installed version.
Superseded
Retained only for history and clearly not current.
Missing
The owner and due action are recorded; no implied completion.
Restricted
Custody/access process is identified without exposing private material.
Open Issues Stay Visible
| Item | Status | Owner / next evidence |
|---|---|---|
| Missing manual or wrong revision | OPEN | Obtain exact installed-model document |
| Commissioning exception not retested | HOLD | Link issue/retest record and acceptance authority |
| Account owner not transferred | OPEN | Named custodian completes approved transfer |
| Replacement reference missing | OPEN | Add order/opening/model identity; no stock promise |

The index records document status and ownership. It contains no password fields and does not store private topology.
Use the Pre-Wire & Commissioning Checklist to keep earlier site checks and remaining handover issues together.
Synthetic Missing-Document Audit
A facility receives an as-built opening list and commissioning PDF but no current controller version, account custodian or open-issue list. The handover status remains INCOMPLETE. The team requests the missing owner/version records without copying credentials into the public index. Synthetic example, not a completed handover.
Send a Reviewable Brief
Send the as-built index, approved configuration revisions, commissioning references, manual list, custodian roles and unresolved exceptions—never passwords.
