A carrier may price a shipment by actual weight, volumetric weight or the higher of the two. Actual weight is what the packed carton weighs. Volumetric weight reflects how much space that carton occupies in a vehicle or aircraft and is calculated using the carrier’s own divisor. Long but light track samples can therefore be affected by package dimensions as much as by kilograms. Ask for an estimate only after the proposed packing size, quantity and material mix have been identified.

Do not rely on an unboxed product dimension when discussing freight. Protective packaging, end protection, inner cartons and outer cartons can change the final measurement. A wired sample may avoid some battery questions, but its track length, packaging and destination still need assessment.

Courier, air freight, sea freight and door-to-door services have different handling profiles. Couriers are often considered for smaller samples, while air or sea options may be reviewed for larger or less urgent consignments. “Door to door” describes a delivery arrangement; it does not by itself state who pays duties, taxes, clearance charges or destination fees. The available route and its terms must be confirmed for the actual shipment.

DDP is commonly used to describe an arrangement where the seller assumes specified import duties and taxes, while a non-tax-included or other Incoterms arrangement can leave those costs and import responsibilities with the buyer or another named party. The practical meaning depends on the agreed terms, country rules, product declaration and forwarder confirmation. Never treat DDP as a universal package, a guaranteed service or a substitute for destination-specific review.

Customs processing, duties, taxes and transit time are therefore separate questions. They can change with the destination, declared goods, shipment value, documentation, battery status, carrier and local procedures. Ask for a route-specific review rather than promising a fixed cost or arrival date.

A useful international sample enquiry gives the shipping team enough information to compare feasible options. Start with the sample contents and purpose, then add destination and packing data. If the goods are still being configured, clearly distinguish confirmed measurements from estimates. That makes it easier to update the transport assessment after the technical sample is finalised.
