Opening-to-Quotation Dimension Reconciliation
Check what each quoted dimension actually describes. Match the opening ID, measurement basis, units and revision before approving a finished shade or track size.
Is the Quoted Width the Opening Width or the Finished Product Width?
It can be either. The label and drawing reference must say which. An architectural opening, a finished blind/shade width and a track design width are different quantities. Do not approve a dimension merely because its number resembles the drawing.
| Recorded size | What it describes | Before acceptance |
|---|---|---|
| Architectural opening | The opening identified on the cited drawing or site record | Check the reference faces, finished surfaces and whether site measurement is final |
| Finished shade size | The specified product dimension | Clarify whether this includes brackets/cassette or describes fabric only |
| Track design width/length | The agreed track geometry | Identify straight length, curved path or other reference used by the selected system |
| Allowance/deduction | A separately approved adjustment between size definitions | Record who specified it and the selected-system evidence; never assume a universal deduction |
Work Through the Reconciliation Checklist
Compare the architectural/site schedule and the quotation side by side. Use one row per opening and dimension axis. This browser checklist does not save or transmit entries.
Synthetic Worked Examples
The following dimensions and IDs are invented for explaining the workflow. They are not product limits or customer measurements. One inch equals 25.4 mm; conversion does not choose the correct measurement basis.
| Opening / quote | Drawing or site record | Quoted record | Action |
|---|---|---|---|
| DEMO-W01 / Q-01 | 60 in architectural opening = 1524 mm | 1500 mm finished shade | Raw difference is −24 mm. Do not approve it as a deduction without the product-size definition and adjustment authority. |
| DEMO-W02 / Q-02 | 48 in finished-shade requirement = 1219.2 mm | 1219.2 mm finished shade | Arithmetic agrees. Still check revision, site status and approval owner. |
| Unidentified door / Q-03 | Opening cannot be matched to a plan ID | A width is present in the quote | Hold the row. Obtain the door/room mapping; a plausible width is not sufficient identification. |

Use the Reconciliation tab for the two size records and unit conversion, the Approval Record for measurement basis, revision, exceptions and release responsibility, and the Worked Example as a clearly separated synthetic illustration. Fill one comparison row per axis. Duplicate the prepared rows if more are needed.

Amber cells are editable. Calculated millimeters and raw differences update from entered values. A blank dimension stays blank. The workbook neither deducts a clearance automatically nor issues production approval. Record signed release authority separately.
Close Exceptions Before Release
| Open question | Responsible input | Release record |
|---|---|---|
| Preliminary dimensions differ from site dimensions | Appointed site measurer plus design/quotation owner | New dated measurement record, affected quote lines and revised approval |
| Drawing and quote use different units | Schedule preparer plus independent checker | Original value/unit, normalized value and conversion check |
| Door/window ID is missing | Architect, contractor or schedule owner | Cross-reference to room, elevation and quote line |
| Adjustment has no basis | Selected-system supplier and appointed approver | Approved allowance/deduction with source and revision |
| One item remains unresolved | Named exception owner | Explicit hold or limited release scope; no silent whole-schedule approval |
Questions to Settle Before Quotation Approval
When should preliminary dimensions be replaced with site dimensions?
At the agreed measurement hold point, before affected items are released for manufacture. Preserve the preliminary record, identify changed lines and obtain approval for the new measurement revision.
How should imperial and metric values be reconciled?
Keep the original value and unit, convert explicitly, and compare matching dimension bases. Agree any rounding rule with the quotation owner; do not turn rounded arithmetic into a fabrication tolerance.
How is an unidentified opening matched to the quote?
Use building, floor, room/unit, door/window ID and the drawing reference. If the mapping remains ambiguous, keep that line unresolved even when dimensions happen to match.
What the Buyer Sends and Receives
Send the current drawing/site schedule, quoted schedule, revision references and unresolved rows. Saiwenna reviews identity mapping and quoted product-size definitions, then returns a discrepancy list, information requests and the quotation basis that can be confirmed. Site measurement and final release still require the appointed owners.
- BOQ / Window Schedule — creates the base supply schedule; this tool compares it with the quote.
- Multi-Unit Project Supply — groups configurations and keeps identifiers traceable.
- Wiring & Integration Guide — aligns drive side and construction revision.
Prepare a Reviewable Project Brief
Send the two current schedules and the open discrepancies. Identify the measurement owner, quote revision and the items still on hold.
